Refund/cancellation policy and transfer rules:

Cancellation: Registrations cancelled before the registration deadline (May 15, 2027) can be refunded. No refunds will be issued after this date.
Transfer: Registrations are transferable to another person up to 7 days before the event. To transfer, email marie-josee.h.halsor@uit.no with the original registrant’s name, the new registrant’s name, and contact details.
Organizer cancellation: If the event is cancelled by the organizer, registrants will receive a full refund.

For Exhibitors

The conference area has room for up to 20 booths and boasts two enclosed rooms with glass walls for larger installations.

The "hall of the Sun" (Solhallen) and the "hall of the Storm" (Stormhallen) offer a central area connecting the buildings that will be used during the conference.

Solhallen is the area in front of the main auditorium that will be used during the conference. It is the home of the famous Historjá made by Britta Marakatt-Labba. The space will used as the central area of the conference, for coffee breaks and poster sessions. It has two rooms partly covered with glass walls, perfect for larger installations and for storing equipment.

Stormhallen is a wide corridor-like area spreading east from Solhallen. It is the perfect area for booths, with room for up to 20 units.

Sponsorship packages

All sponsor packages include logo placement on the conference website and on conference materials. You may combine multiple options to tailor your participation.

Digital package — NOK 5,000

For sponsors who cannot attend in person.
Includes logo placement in all digital and printed communications.
Option to supply announcements to be played during the conference (format/length to be agreed).

Prize package — NOK 10,000

Sponsor an award (e.g., best presentation or best poster).
We manage the nomination and award process and provide prominent visibility for the prize sponsor (naming rights and logo use).

Presentation package — NOK 15,000

Secure stage time during the conference.
We will coordinate placement in the programme and provide promotional visibility for the session.

Exhibition booth in Stormhallen — NOK 10,000

Booth located on the main thoroughfare between conference locations for the duration of the event.
We provide on-site assistance and visibility. (Details such as booth size, furniture, power, and exhibitor passes to be agreed.)

Glass booth in Solhallen — NOK 20,000

One of two lockable glass rooms located in front of the auditorium — ideal for demonstrations or private meetings.
You may schedule demonstrations or events in your room; we will coordinate logistics and promotion.

The conference is committed to providing a welcoming, respectful, and harassment-free environment for all participants.

Expected behaviour

Treat participants with respect and courtesy.
Be considerate in language, tone, and actions.
Follow venue rules and staff instructions.

Reporting procedure

If you experience or witness unacceptable behaviour, report it as soon as possible. For urgent incidents, contact venue security or local emergency services.

Privacy & recordings

A full privacy/data-protection statement will be published on the registration page. Submitted abstracts and registration data are processed for conference administration and review.

Any recording or livestreaming plans will be announced in advance; presenters will be given opt-out procedures.
